Pember Frost
Privacy Policy
About this policy
This policy describes how Pember Frost handles information from this website, its public inquiry form, and intro-call booking and meeting activities. For privacy questions, contact hello@pemberfrost.com.
Information we collect
The inquiry form asks for your full name, work email, agency/company name, company website and selected inquiry/need category. It also submits source-page and form-version metadata and, when browser validation is available, a normalized company domain. Browser validation reduces company websites to their public origin, removing paths, query strings and fragments. Please enter only a public company domain.
Hosting and form services may process technical information such as IP addresses, browser/request details, technical logs and security or spam signals to operate and protect the website.
Do not submit confidential client information, lead lists, qualification rules, credentials, sensitive personal information or third-party private data through the public inquiry form.
Booking and intro calls
If you choose to book or attend a call, relevant information may be processed for scheduling, calendar coordination, video conferencing, and automated recording, transcription or notetaking. Current providers may include Cal.com, Microsoft / Outlook, Zoom and Fireflies.ai.
Meeting-related information may include your name, email, booking details and meeting metadata, and audio or transcript information where recording or transcription occurs. Intro calls may use an automated notetaker. You’ll receive notice through the meeting experience before recording proceeds; recording or transcription may not occur on every call.
Depending on the meeting experience and applicable settings, invitees may receive meeting-related messages, including a recap or access to a transcript. Meeting-processing messages are not limited to Pember Frost.
How we use information
We use inquiry and meeting information to respond, assess general service fit, schedule and conduct calls, coordinate follow-up, prevent abuse or spam, and maintain the security and operation of the website. An inquiry does not subscribe you to unrelated marketing or activate a service. Personal information is not sold or rented for advertising.
Service providers and processing locations
Netlify provides website hosting and form handling. Namecheap Private Email provides business email. Scheduling and meeting providers are described above. These providers may process or store relevant technical, inquiry and meeting information outside your province or country, depending on their infrastructure. We do not promise a particular processing or storage location.
Retention
Ordinary non-client inquiry records may be retained for up to 12 months after the last meaningful contact, then deleted or minimized. A longer period may be reasonably required for an active customer relationship, dispute, security issue, legal or recordkeeping obligation, or documented operational need.
This inquiry retention period is not a guarantee of deletion of calendar, meeting, recording or transcript records held by third-party providers. Their own terms, privacy practices and applicable settings apply; we do not promise provider retention periods or processing locations.
Safeguards
We minimize the information requested and restrict inquiry and meeting-information access to people who need it to respond and operate the website. The production site uses HTTPS, provider access controls, restricted account access and reasonable administrative and technical safeguards. No method of transmission or storage can guarantee complete security.
Your requests
Contact hello@pemberfrost.com to request access to, correction of, or deletion of inquiry or meeting-related information. Requests are subject to legitimate legal, security and recordkeeping limitations. We may need information to verify that a request relates to you.
Cookies and analytics
This website does not use marketing analytics or tracking cookies. The inquiry form does not put submitted personal information in browser storage or analytics events. Hosting infrastructure may maintain technical logs. External scheduling and meeting services have their own privacy and cookie practices.
Updates
We may update this policy as the website or its information handling changes. The current version and update date will be published here.
